Client financial data
When we deliver bookkeeping, management accounting, modelling or CFO services, we access our clients' financial records. Any personal data in those records, such as employee or customer details, is processed on the client's instructions and under the confidentiality and data protection terms of our engagement letter.
Who we share it with
- Connexive FinOps, the delivery team that carries out bookkeeping and finance operations under our direction.
- Providers of the software we use to run the business, such as email, document storage and accounting systems.
- Cloudflare, which hosts and secures the websites.
- Professional advisers such as our accountants, lawyers and insurers, where necessary.
- Regulators, law enforcement or other authorities where the law requires it.
We share only what each party needs, and our suppliers may use the data only to provide their service to us.
Transfers outside the UK
Some members of our delivery team and some of our software providers are based outside the UK. Where personal data is transferred to a country without UK adequacy regulations, we protect it with the safeguards the UK GDPR requires, such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. You can ask us for details of these safeguards.
How long we keep it
- Enquiries that do not lead to an engagement: up to 2 years from our last contact.
- Client and engagement records: 6 years after the engagement ends, in line with UK record-keeping and limitation periods.
- Marketing contact details: until you opt out, after which we keep only what we need to respect that choice.
- Website security logs: in line with Cloudflare's standard retention periods.
Keeping it secure
We use appropriate technical and organisational measures to protect personal data, including access controls, encrypted cloud services and confidentiality obligations on everyone who handles it.
Your rights
You have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct data that is inaccurate or incomplete
- ask us to delete your data, or to restrict how we use it
- object to our use of your data based on legitimate interests, including for marketing
- ask us to transfer data you have given us to another organisation, where this applies
To use any of these rights, email finance@connexivefinops.uk. We will respond within one month.
